We are seeking an energetic and enthusiastic individual to add to our team here in West Fargo as an Administrative Assistant!  The Position is for 40 hour work weeks with no weekends. The usual work schedule is Monday-Thursday 7:30-5, and 7:30-11:30 Friday making for early weekends! Some overtime will be available and/or required at times as well, but only as needed and not on a regular basis.

Must be willing to work in a fast paced work environment and have the ability to multi-task. Experience with Microsoft Office products and Quickbooks accounting software are going to be highly looked at for this position, as data entry, sending/receiving e-mails, and editing documents (letters, spreadsheets, invoices, etc.) are going to be a large portion of daily tasks. With that being said, STRONG attention to detail for accurate data entry is needed, along with excellent communication skills both in written and verbal form. Reliability is a must, with ability to be flexible as day-to-day business needs change.

Responsibilities include but are not limited to:
  • Preparing and creating work orders, invoices, and other documents
  • Filing, sorting, scanning of documents along with sending of letters and other documents and packages
  • Data entry of work orders, invoices, and other assorted incoming/outgoing information
  • Answering phone calls with a customer service mindset (being prompt, professional, and friendly), and Direct incoming phone calls to appropriate staff
  • Some mild bookkeeping for bill entries
  • Travel planning for hotels and flights as needed for staff
  • Taking on special projects for the business as needed
  • Assisting in office errands, ordering office supplies, and other office tasks as necessary

General Requirements:

  • Excellent verbal and written communication skills and experience interacting with clients, employees, and vendors
  • Strong ability to multi-task and prioritize tasks effectively, while maintaining attention to detail and adhering to deadlines
  • Office software experience to include Word, Excel, Outlook, Adobe, and QuickBooks (preferred)
